Project Coordinator

The Project Coordinator (PC) plays a critical role in supporting both project delivery and back-office operations within our Professional Services organization. This position works within the Project Management Office to facilitate all project administration tasks including coordinating project activities, managing schedules and documentation. The role has an administrative responsibility within the Professional Services department to ensure operational accuracy across order entry, invoicing, and financial processes.

The ideal candidate has 1–2 years of project coordination or similar experience, is highly detail-oriented, and thrives in a fast-paced environment where precision, accountability, and strong communication are essential.

Primary responsibilities include but not limited to:

Project Coordination & Delivery Support

  • Support project managers in planning, scheduling, and execution of client engagements
  • Coordinate timelines, deliverables, and internal resources
  • Track project progress and proactively identify risks or delays
  • Facilitate meetings, capture notes, and track action items

Communication & Stakeholder Alignment

  • Serve as a central point of coordination between delivery teams, sales, finance, and clients
  • Ensure stakeholders are informed of timelines, updates, and responsibilities
  • Support onboarding of new projects and communicate key details to assigned teams

Documentation & Reporting

  • Maintain accurate and organized project documentation, including SOWs, status reports, and task tracking
  • Monitor milestones and project progress
  • Prepare internal and external reporting as needed

Financial & Operational Support

  • Track project hours, budgets, and milestones
  • Support invoicing processes ensuring alignment with contracts and delivery progress
  • Partner with finance to ensure timely and accurate billing
  • Escalate discrepancies or financial concerns

Order & Systems Management

  • Validate and process service orders with a high degree of accuracy
  • Ensure all required documentation is complete before order entry
  • Maintain data integrity across systems and tools
  • Align contracts, orders, and delivery execution

Back-Office Operations

  • Support order entry, invoicing, and accounts coordination processes
  • Monitor shared inboxes and respond to inquiries in a timely manner
  • Assist with month-end financial processes and reporting
  • Ensure subcontractor and client documentation is complete and accurate

Quality Assurance

  • Review documentation and deliverables for accuracy and completeness
  • Ensure all project artifacts are stored properly and audit-ready

Qualifications and Education Requirements

  • 1–2 years of experience in project coordination, operations, and administrative support
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and collaboration skills
  • Proficient with Microsoft products including Word, Excel, MS Project and SharePoint
  • Able to produce quality work with strict deadlines
  • Experience working in a direct customer environment

  • Familiarity with various contract types (Fixed Fee, Time and Materials, etc.)
  • Highly organized and efficient

Annual On Target Earnings: $60,000 - $70,000
